Job Description:

 

Southern Jersey Family Medical Centers, Inc. is seeking a part-time (3 days/24 hours per week) administrative secretary to support the Regional Oral Health Program staff and their activities. 

Minimum requirements:  High School graduate, college graduate preferred. Superior computer literacy (knowledge of Word, Excel, PowerPoint, Publisher) and previous secretarial experience.

 

POSITION SUMMARY: 

The Administrative Secretary manages the daily clerical, scheduling, budgetary/ fiscal and preparatory operations and activities of the Regional Oral Health Program as directed by the Regional Oral Health Coordinator.

 

Responsibilities include:

  • Preparation of the various mailings of the Regional Oral Health Program (school/agency newsletters, fluoride mouthrinse tracking and monitoring forms etc.):

  • Development of forms for the organization of the program:

  • Data entry for all Regional Oral Health Program activities and surveys:

  • Budget development assistance, tracking and reconciliation, general accounting duties:

  • Maintenance of records and the office:

  • Manage and direct phone calls to appropriate personnel:

  • Mailing and tracking the delivery of oral health teaching kits:

  • Order and track supplies (Fluoride Mouthrinse Program etc.) with confirmation of arrival:

  • Maintenance and Inventory supplies in-house and at storage facilities:

  • Miscellaneous computer and other paperwork:

  • Preparation of reports for the Regional Oral Health Program:

  • Duplication responsibilities and other duties as determined by the Regional Oral Health Coordinator.

 

Experience and Skills:

Position Requirements:

- Proficiency in Microsoft Office Suite
- Efficiency, works well with a team
- Strong attention to detail
- Excellent communication and Customer Service skills (verbal and written)
