Job Description:

Southern Jersey Family Medical Centers, Inc. is seeking a full-time administrative assistant to support the Regional Oral Health Program staff and their activities. 

Minimum requirements:  High School graduate, college graduate preferred. Superior computer literacy (knowledge of Word, Excel, PowerPoint) and previous secretarial experience.



The Administrative Assistant manages the daily clerical, scheduling, budgetary/ fiscal and preparatory operations and activities of the Regional Oral Health Program as directed by the Regional Oral Health Coordinator.


Responsibilities include:

  • Preparation of the various mailings of the Regional Oral Health Program (school/agency newsletters, fluoride mouthrinse tracking and monitoring forms etc.)

  • Development of forms for the organization of the program

  • Data entry for all Regional Oral Health Program activities and surveys

  • Budget development assistance, tracking and reconciliation, general accounting duties

  • Maintenance of records and the office

  • Manage and direct phone calls to appropriate personnel

  • Mailing and tracking the delivery of oral health teaching kits

  • Order and track supplies (Fluoride Mouthrinse Program etc.) with confirmation of arrival

  • Maintenance and Inventory supplies in-house and at storage facilities

  • Preparation of reports for the Regional Oral Health Program

  • Prepare and distribute oral health kits as directed

  • Other duties as determined by the Regional Oral Health Coordinator
